StraCon Services Group is seeking a highly organized and motivated team player to serve as a Full Time Executive Assistant providing administrative and analytical program support for senior executives in a government office.  The candidate will support the Office of Financial Operations (FMO), responsible for setting Financial Management (FM) policies and procedures within the Department of the Navy (DON) and representing DON FM interests for Department of Defense (DOD) initiatives.   

Primary Duties and Responsibilities:
  • The ideal candidate should be flexible, have the ability to learn new processes quickly, use critical thinking, and adapt to changing environments and demands.
  • Perform complex and routine administrative duties including but not limited to: managing the day-to-day operations of an Executive Front Office, maintain a professional work environment by knowing Senior Executive Service (SES) protocols, maintaining the space so that it is presentable and appropriate for the Deputy Assistant Secretary of the Navy (Financial Operations) office.
  • Key executive administrative/clerical responsibilities include, but are not limited to: Travel Support, Supplies, Calendar Management, Tasker Management, Recall Roster, Document Retention/File Management, Motor Pool Reservation, Develop FMO Correspondence, Visit/Phone Reception, Visit Requests, Mail Pickup, Copy, Print, Scan, Shred, Fax, Briefings and Day Books, and Office Support for Senior FMO Leadership (SES, Senior Leader and Navy Captain levels).
  • Provide exceptional support for a wide range of administrative functions in a fast-paced and demanding environment.
  • Coordinate with appropriate stakeholders to include DON/AA, ASN (FM&C), Financial Management Human Capital (FMH), Financial Management Administration (FMA), Echelon I, II and II Commands, and other Secretariats.  
  • Receive, coordinate, and respond to invitations and inquiries received by the office. Plan, coordinate, and confirm logistical support (transportation, badges, security clearance paperwork, audio visual support, etc.) for meetings held in conjunction with activities.
Experience Requirements:
  • Minimum of four (4) years of proven experience as an executive administrative assistant, with at least two years REQUIRED supporting high level military (Navy) or civilian officials
  • Experience providing administrative support to Senior Executive or FO/O6/GS15, with the ability to execute and lead tasks and independently lead team members to find solutions to problems
  • Manage and maintain complex calendars and schedules for senior personnel.  Resolve conflicting priorities and orchestrate changes to the calendar as required; which may include coordination, verification, and scheduling of meetings with senior government personnel, congressional members and staff, industry, and academia personnel.
  • Effectively and professionally interact with government, military, or contractor personnel in a dynamic office setting
  • Position requires full comprehension of office management systems and procedures and experience with DOD/DON systems/applications such as DTS (travel), GSA (supplies), TV5/DON Tracker (task management), and Total Records Information Management (TRIM)
  • Must possess excellent verbal and written communication skills, exemplary planning and time management skills, and ability to multitask and prioritize daily workload
  • Must be proficient in MS Office to include Word, Project, Power Point, Outlook and Excel
  • Experience developing, reviewing and editing Navy correspondence IAW SECNAVINST M5216.5
  • Positive attitude, resourceful nature, and excellent problem solving capabilities
  • Demonstrated understanding of DON organizational structure/hierarchy, rank, grade structure, and SES protocols 
  • Knowledge of MS SharePoint
Education Requirements:
  • Bachelor’s Degree from an accredited college or university. **At the discretion of the Government, seven (7) years specialized experience may be substituted in lieu of specific educational requirements**
Security Requirements:
  • U.S. Citizenship required  
  • Minimum Secret clearance required
